How do employees track business mileage?
· Depends on the country’s local requirements. Measures are taken to avoid the reimbursements being taxed in payroll as income
· Individually
· Through CONCUR Drive
· App, Manually, book, their choice - must meet IRS standards and is reported monthly
· Employees submit business mileage reimbursements as expenses in Workday. Workday uses Google Maps to calculate the mileage and then calculates the reimbursement amount based upon our per-mile reimbursement.
· Personal responsibility
· they provide the data to the fleet management company monthly
· We use the WellsFargo calculation tool in our expense program.
· CONCUR
· Spreadsheet (Excel), Expense Reporting Software, Company Guidelines: Employees follow specific guidelines provided by the company for mileage reporting.
· Through the Fleet management company online mgmt tool
· screenshots of google maps
· We have two different programs - US and CA. In the US those individuals are under the FAVR program. They track their miles with our third-party partner. In CA, miles are tracked with Concur drive. They are paid at a reduced rate per km. but receive a car allowance as well.
· We have motis and a milage tracker in our expense program. FYI- Not sure how to answer question 1 because we have a fleet program with Enterprise for our ExPATs only
· We have a calculator on our WellsFargo expense tool
